How to Prepare a School Uniform Order Breakdown

An order breakdown shows how your requested quantity is divided by garment, colour and size. For schools, uniform brands, wholesalers and purchasing teams, a clear breakdown helps reduce misunderstandings when discussing a quotation or confirming an order.

List each combination separately so the manufacturer can identify what is required. Browse our Products for garment references, then use your own style names or reference codes to distinguish similar items.

Choose the Correct Unit: Pieces or Sets

Pieces means individual garments. For example, one polo shirt and one pair of shorts count as two pieces.

Sets means defined groups of garments. Always state what each set contains. A description such as “school uniform set” alone does not explain which garments are included.

For a set, also identify the colour and size of each component, particularly if the garments use different sizes.

A Simple Order Breakdown

Copy the format below and replace the example entries with your requirements.

The quantities below are fictional examples for illustration only. They do not represent WENQI’s MOQ, order acceptance rules or availability.

GarmentColourSizeQuantityUnit
Polo shirt — Style ANavyBuyer size code S20pieces
Polo shirt — Style ANavyBuyer size code M30pieces
Polo shirt — Style AWhiteBuyer size code S10pieces
Shorts — Style BNavyBuyer size code S20pieces
Shorts — Style BNavyBuyer size code M30pieces
Total——110pieces

The size codes above are placeholders. Identify the size chart or measurements you intend to use; a size label alone may not define the required fit.

If using sets, define the contents clearly. For example:

Fictional set example: Set A contains one navy polo shirt and one pair of navy shorts. Both use buyer size code S. A quantity of 20 sets therefore contains 20 polo shirts and 20 pairs of shorts: 40 pieces in total.

Keep Each Combination Separate

Use a separate row whenever the garment style, colour or size changes.

  • Give each style a clear name or reference code.
  • Keep units consistent within each subtotal.
  • Check that the rows add up to the stated total.
  • If you list both sets and component pieces, identify the component rows as a breakdown of the sets—not additional quantities.
  • Do not combine pieces and sets into one numerical total. Show separate totals or calculate the garment total from the defined set contents.

A breakdown describes your requirements. Whether different styles, colours or sizes can be combined in an order must be confirmed with the manufacturer.

Start with Estimates, Then Confirm

You can submit estimated quantities before every size is known. Mark the document “Estimated quantities — subject to confirmation” and identify any missing breakdowns.

When the details are agreed, provide a dated final version. Make changes clear and ask the manufacturer to confirm which version will be used for the quotation and formal order.

Submitting a breakdown does not confirm pricing, order acceptance or a production schedule. See How to Order for the overall process.

Add Useful Delivery and Packing Notes

Alongside the quantity table, you can include:

  • Packaging groups, such as by school, garment or size
  • Delivery country, city and postal code, if known
  • Target delivery date and whether it is flexible

These notes help describe the project; packaging arrangements, delivery timing and shipping terms require separate confirmation.
