A school uniform sample gives schools, uniform brands, wholesalers and purchasing teams a reference to review before bulk production. It helps identify differences between the proposed garment and your requirements while changes can still be discussed.
Review the sample against your agreed brief, reference images and specifications. Confirm any unresolved details with the manufacturer rather than relying on appearance alone.
What to Check
- Style: Compare the garment with your design reference. Check the neckline, collar, sleeves, pockets, fastenings and other requested details. Our Products provide style references for your enquiry.
- Size and fit: Check the labelled size, key measurements and fit on an appropriate wearer where possible. Confirm the measurement method, size chart and any agreed tolerances with the manufacturer. One sample size does not confirm the fit of every size.
- Fabric requirements: Review the fabric’s feel, weight and appearance. Confirm its composition and any requested performance requirements separately; these cannot reliably be established by touch or photographs alone.
- Colour: Compare the sample with your agreed colour reference under consistent lighting. Discuss noticeable differences with the manufacturer, as screens and photographs can affect how colours appear.
- Logo and labels: Check the logo artwork, spelling, placement, proportions and appearance. Review any requested brand, size or care labels. Confirm the application method and label information where these remain undecided.
- Stitching and appearance: Look for visible uneven seams, loose threads, puckering or inconsistent finishing. Check that fastenings work as intended. Any technical inspection criteria should be agreed separately.
- Set contents: If ordering sets, list each garment included and check that the sample represents the intended combination. Confirm which items are being reviewed and which remain outstanding.
- Packaging: Review any packaging sample provided, including labels, individual packing and grouping requirements. If packaging is not included with the garment sample, record it as a separate item to confirm.

What You Can Review—and What Needs Confirmation
You can review visible design details, spelling, garment measurements, fit, finishing and the contents of the sample package.
Confirm technical details with the manufacturer, including fabric specifications, measurement tolerances, logo application methods and any inspection or testing requirements. Where supporting documentation is needed, discuss what evidence is available. A visual review does not establish certification or compliance with a particular standard.
Record Differences Clearly
Keep a short review record:
- Sample reference and review date
- Garment and size reviewed
- Detail that differs from the agreed requirement
- Photograph or measurement showing the difference
- Requested correction
- Points still awaiting confirmation
Send one consolidated set of comments where possible. Ask the manufacturer to confirm the proposed corrections and whether an updated sample or other evidence is needed. Resolve outstanding differences before confirming the formal order conditions.
Keep the final agreed specifications and review notes as a shared reference for the order.
Keep Sample Approval Separate from Order Confirmation
Sample approval concerns the garment and its agreed specifications. It does not automatically confirm the final price, delivery date, commercial terms or acceptance of a formal order.
Confirm those matters separately. Bulk production should be arranged only after the formal order and order conditions are confirmed. Visit How to Order for the overall cooperation process.
